Part of the ever-growing task of managing your employees is maintaining up to date contact information for them. Obviously, it’s important to have the normal stuff on hand – name, phone number, home address – so you can access them quickly and easily. But, perhaps the much more useful and often overlooked aspects of a person’s contact information are the miscellaneous details. Information like a person’s birthday, anniversary, family members’ names, favorite hobbies and the date they began working can be extremely valuable.
Think about how good you’ll feel (let alone how good they’ll feel) when you’re able to wish your employee a happy anniversary, or engage in a meaningful conversation about fishing, or philately (the collecting and studying of stamps, for our non-stamp enthusiast readers) or just about anything other than work.
But a good employee management tool doesn’t stop at improved water cooler talk. Let’s add the ability to define and assign tasks to the list. Even if they’re not using IQTELL, they’ll be able to see all the details you defined for the task, including the start and due dates, and any milestones in between. So, now you’ve used your contact information to:
1) connect with your employees on a personal level, and
2) efficiently assign them tasks that will be easy for you to track. What else can you do?
How about taking advantage of your robust contact list by linking relevant employees to important documents? When you receive reports or other critical files, upload them to your documents management application and link the appropriate employee. This serves several purposes for you. First, you can always see who originated the document for future reference. Second, you’ll be able to see all of the files related to a single contact with a simple right-click – quite useful during employee evaluation periods. When your entire Workspace is working together, it’s practically doing the work for you!
